What should a product price list include?
A useful price list identifies the edition, currency and tax treatment, then groups products in a predictable order. Each row should contain enough information to match the price to a real product without opening another document.
- Product name
- SKU or product code
- Wholesale or trade price
- Optional recommended retail price
- Minimum order quantity
- Product category
- Validity date and core trade terms
Trade price list versus consumer price list
A consumer price list normally shows the final selling price and may be used in a shop, salon or service environment. A trade price list is intended for business buyers and often includes wholesale price, RRP, MOQ, case pack and ordering terms. Do not send a trade list without making its purpose clear.
How to arrange the rows
For a small range, alphabetical ordering may be sufficient. For a larger range, group by category and sort consistently inside each group. Keep variant naming consistent: “Mug — Blue” and “Mug — White” are easier to compare than two unrelated titles.

How often should the price list be updated?
Regenerate it whenever prices, products or ordering constraints change. Add a valid-until date when you expect costs to change or when the list is tied to a season. Keep the source spreadsheet and PDF edition together.
Check margin before publication
Wholesale price should reflect product cost, overhead, fulfilment, discounts and the gross margin your business needs. RRP should also leave a workable retail margin for the stockist.
