What is a wholesale line sheet?
A wholesale line sheet is a concise document used by product brands to present items to retail buyers. It normally prioritises product name, image, SKU, wholesale price, recommended retail price, minimum quantity, case pack and ordering details. Unlike a lookbook, it is built to support a commercial decision rather than tell the whole brand story.
The strongest line sheets are easy to scan. A buyer should be able to compare products without moving between image pages, a price spreadsheet and a separate email containing the terms.
Line sheet, catalogue and lookbook compared
| Document | Primary purpose | Typical content |
|---|---|---|
| Line sheet | Compare and order products | SKU, pricing, MOQ, case pack, compact imagery |
| Product catalogue | Explore the range | Larger imagery, descriptions, categories and brand introduction |
| Lookbook | Communicate a visual direction | Lifestyle imagery, collection story and minimal commercial detail |
A small brand may need all three eventually, but a line sheet is usually the most practical document for wholesale outreach. CatalogPack pairs it with a fuller product catalogue so you do not need to choose between visual presentation and ordering information.
What to include in a line sheet template
- Brand and contact: trading name, website, wholesale email and phone number.
- Product identifier: a unique SKU that matches your spreadsheet and invoices.
- Product name: short enough to scan, specific enough to distinguish variants.
- Wholesale price: clearly labelled, with the relevant currency and tax treatment.
- RRP or MSRP: optional, but useful for estimating retailer margin.
- MOQ and case pack: shown separately where they mean different things.
- Lead time: the realistic time between confirmed order and dispatch.
- Trade terms: opening order, reorder minimum, payment and shipping.
How to format product variants
If colour or size variants have different SKUs, give each sellable variant its own row. If buyers order a mixed case under one SKU, show the parent product once and explain the available assortment. Avoid hiding crucial variant details inside a long description.
Use consistent price precision
Show all monetary values with the same number of decimal places. Consistent formatting makes the table easier to scan and reduces the chance of a buyer reading an incomplete price.
Keep the first view commercial
A line sheet can include small product images, but do not let photography push pricing and quantities onto another page. The page should remain useful when printed in greyscale or opened on a laptop during a buyer call.
How to make a wholesale line sheet
- Clean your product spreadsheet and confirm every SKU is unique.
- Enter or import product names, categories, prices, MOQ and case packs.
- Add your logo and a restrained brand accent colour.
- Choose whether RRP or MSRP should appear.
- Add opening-order, payment, shipping and lead-time terms.
- Preview the line sheet beside the catalogue and order form.
- Date the document and replace it whenever the range or pricing changes.
Why a complete wholesale pack is stronger
A standalone line sheet is useful, but buyers may still need richer product descriptions or a printable order form. Generating those documents from the same data keeps names, SKUs and pricing aligned. It also avoids the version problem created when one spreadsheet changes but an older PDF remains in circulation.
